Terms & Conditions Policy

These Terms, Refund & Cancellation Policy apply to all registrations for BeAthlit events, including runs, walks, fitness activities, challenges, and community events.

Registration

Participants must provide complete and accurate registration information.
A registration is confirmed only after successful payment and confirmation from BeAthlit.
Entries are personal and may not be resold or used by another person without BeAthlit’s written approval.
BeAthlit may cancel a registration where information is incorrect, payment fails, or these terms are breached.

Eligibility and Participation

Participants must meet the age requirements stated on the relevant Event page.
A parent or legal guardian must register and accept these terms for participants under 18.
Participants are responsible for selecting a distance appropriate to their fitness and experience.
Participants confirm that they are medically and physically fit to participate.

Event Changes

BeAthlit may make reasonable changes to an Event’s date, time, venue, route, distance, format, schedule, or inclusions where required for safety, weather, permissions, operations, or circumstances beyond its reasonable control. Participants will be informed of material changes through their registered contact details.

Cancellation and Refund Policy

Registration fees for all BeAthlit Events are non-refundable.
Processing fees, platform fees, payment gateway charges, and applicable taxes, if any, are also non-refundable.
Participants may not claim a refund if they are unable to attend an Event for personal, medical, travel, scheduling, or any other reason.
Registration transfers or deferrals may be permitted only where expressly stated on the relevant Event page and are subject to BeAthlit’s approval.

This policy is subject to applicable law and does not affect any rights that cannot legally be excluded.

Transfer or Deferral of Registration

Registration transfers or deferrals may be allowed only where stated on the Event page.
Requests must be made before the stated deadline and may be subject to an administrative fee.
BeAthlit may require the new participant’s details before approving a transfer.
Transfers are not permitted after bib allocation, timing-chip allocation, or personalisation production, unless BeAthlit agrees otherwise.

Cancellation or Postponement by BeAthlit

If BeAthlit cancels an Event, participants will be informed through their registered contact details. Depending on the circumstances, BeAthlit may offer:

A full or partial refund
A transfer to a rescheduled date
A credit toward another BeAthlit Event
An alternative Event experience or entitlement

For changes caused by severe weather, government directions, public-health restrictions, route restrictions, or other circumstances outside BeAthlit’s reasonable control, a transfer, deferral, credit, or other reasonable alternative may be offered instead of a cash refund.

Health, Safety, and Assumption of Risk

Running, walking, and outdoor activities involve inherent risks, including falls, injuries, weather conditions, uneven surfaces, traffic-related hazards, illness, and collisions.

By participating, you:

Accept these inherent risks
Agree to follow the instructions of Event staff, volunteers, medical teams, traffic marshals, venue personnel, and public authorities
Understand that BeAthlit may stop you from continuing if participation is considered unsafe

To the extent permitted by law, BeAthlit and its organisers, partners, volunteers, sponsors, and venue providers will not be liable for injury, loss, damage, theft, or expense arising from participation, except where liability cannot legally be excluded.

Participant Conduct

Participants must act safely and respectfully. BeAthlit may deny entry or remove a participant for abusive, disruptive, intoxicated, unsafe, dishonest, or inappropriate conduct. No refund will be due where removal results from a breach of these terms.

Bibs, Timing, and Results

Event bibs, timing devices, and credentials may only be used by the registered participant.
Participants must follow the official route and Event instructions.
BeAthlit may disqualify participants for bib swapping, route-cutting, unsafe conduct, or actions that compromise the Event’s integrity.
Event timing and results may be reviewed and corrected where necessary.

Personalised Merchandise

Names submitted for medals, bibs, certificates, and other personalised items will be printed as entered during registration. Participants are responsible for verifying spelling before the stated cut-off date. Changes cannot be guaranteed after production begins.

Photography and Media

BeAthlit and its authorised partners may photograph, film, or record Events. By attending, participants permit BeAthlit to use their image, name, and likeness in Event coverage and promotional material without additional payment.

To request that BeAthlit avoids featuring you in identifiable promotional content, contact run@beathlit.in before the Event.

Personal Belongings

Participants are responsible for their belongings. BeAthlit is not responsible for loss, theft, or damage to personal items, except where required by law.

Personal Information

BeAthlit will use personal information to process registrations, deliver Event services, communicate Event updates, maintain safety, and meet legal obligations. Please refer to the BeAthlit Privacy Policy for more details.

Governing Law and Contact

These terms are governed by the laws of India. Courts in Bengaluru, Karnataka will have jurisdiction over disputes, subject to applicable law.
